Imagine you are at a busy airport, suitcase in hand, ready to board a plane heading to your new country. You are excited, as you can go to the beach daily, enjoy fresh food and pay little to no taxes. However, your documents might not be in order. When you go to a government office in your new country, public servants reject your papers since they are invalid. Now, you need to go back home to legalize them.
I kid you not. Cases like this are more common than you think; expats eager to secure their new lives abroad, with a clean criminal history and lots of money to invest, are not able to make the moves they want because of a stamp. It is infuriating, but thankfully, there is a solution: e-apostilles. These will save you time, money and headaches. But what is an apostille anyway? Let’s go over them quickly.
To fully understand apostilles and why they are so important, you need to know about the Hague Convention, which abolished the requirement of legalization for foreign public documents. Back then, authenticating documents for activities abroad was much more complex. Namely, the relevant institutions of the country of origin and the embassy or consulate of the destination would certify that the appropriate authority issued the document and that it was valid in the country of origin.
As you can see, the process was slow and inefficient until Apostilles arrived. The Convention introduced this certificate to make documents readily valid in any of the 120+ member countries. Long story short, what used to be a multistep procedure turned into a one-step ordeal.
With e-apostilles, the process is further simplified since you can use electronic signatures and seals and unique identifiers that the authorities in destination countries can verify online. Moving abroad or conducting business always comes with its fair share of expenses, such as fees, investments, and deposits, so savings are always welcome. E-apostilles remove the need for physical transportation, notarization, and other intermediate steps that slow down your plans and increase your costs. However, the Hague Convention itself encourages the use of reliable digital certificates, including Adobe PDF and Microsoft Word. Plus, PDF technology provides an extra XML layer of data, which allows for information exchange between computer systems.
Fraud and document loss always pose major risks, even if you do everything you can to prevent them. You may fill out the right documents and submit them to the right government office, but someone could still lose or damage them, causing you problems you never created. Digital apostilles, though, offer electronic signatures, seals and unique identifiers, making them more complex to crack. Additionally, instead of hoping that the numerous intermediaries do their job right, documents can be verified instantly with a single click.

Getting an apostille is a fairly straightforward process; by following these four steps and keeping in mind the essential requirements, you can ensure your documents are legally recognized internationally:
To use apostilles, verify that the country of origin and the country of destination are both members of the Apostille Convention; otherwise, apostilles will not work, and you will have to find other ways to authenticate.
Each country designates a competent authority, be it a government ministry, department, or office, to handle apostilles. For example, the UK’s competent authorities are the Foreign, Commonwealth and Development Office and the Legalisation Office. An apostille must include certain mandatory data, such as the country of origin, who signs the document, and so on. This is the official model published on the Apostille Convention website. Though the design, size, colours, and other elements may vary from country to country, the recipient can’t refuse it for mere variations in appearance.
Sometimes, getting an e-apostille is simply not possible. Although the Convention encourages the use of online verification, countries are not obligated to have a website to verify the authenticity of documents. You can check out the members with operational e-registers here.
Before wrapping up this article, I would like you to be mindful of some important facts. Although apostilles simplifies international bureaucracy, it will not solve all your problems when moving abroad. Please keep the following in mind:
An apostille is not enough to certify the content of the public document it refers to;
An apostille only certifies the origin of the public document it relates to. Namely, An Apostille confirms the authenticity of a public document by certifying the validity of the signature or seal and verifying the authority of the person or entity who signed or sealed it;
As such, an apostille does not provide any additional value to the content of the documents themselves;
Ultimately, an apostille is to be used elsewhere than the country where it was issued.
Some members of the Convention still use paper apostilles, but currently, several countries already have operational electronic registers to verify the validity of documents
